Superadmins and school administrators
Administration
Before you start: You need Administration or Group Administration access. Confirm the school before changing its configuration.
Open AdministrationActions depend on your school’s enabled modules, your permissions and the record’s current status.
1. Create an independent school account
- As a superadmin, open Administration → User accounts → Create school account.
- Enter the school name, unique code, school type and initial school admin’s details.
- Choose Create school and admin. The school and approved initial administrator are created together.
- Select the school in User accounts to create its users. Use Administration → Schools for school settings.
What to check: The school has an active administrator; no partial school is retained if account creation fails.
2. Enable the required modules
- Open Administration → Modules.
- Review the modules available to the selected school.
- Enable the modules needed for school operations and save the changes.
- Verify that an appropriate user can see the enabled modules in All modules.
What to check: School availability and role permissions both determine whether a module can be used.
3. Set role permissions
- Open Administration → Roles and select the relevant role, or create a role if needed.
- Review its module permissions and grant only the read, write, approval or management actions required for the job.
- Save the role.
- Have an affected user sign in again or refresh their workspace and verify access with an ordinary permitted task.
What to check: The role’s saved permissions control available actions; a visible module does not imply permission to approve or delete records.
4. Apply branding and review changes
- Open Administration → Branding and select the correct group or school scope.
- Update the permitted name, logo and colour fields; preview and save.
- Open Administration → Audit log to review who performed administrative changes and when.
- Use the school settings page for school-specific operational options, rather than changing another school’s defaults.
What to check: Branding is visible in the selected workspace and changes are traceable through the available audit records.
5. Create a school user or link a parent
- Open Administration → User accounts and select the school. School admins can manage only their permitted school.
- Choose Create user and select School admin, Teacher, Student or Parent / Guardian. Only a superadmin can choose Superadmin.
- Enter the person’s name, email and initial password. For students and guardians, select an existing student record.
- For an existing parent, use the same email and leave the password blank to link another child. The existing login is preserved.
- Save the account. New school accounts and new parent-child links await approval.
What to check: Students and teachers each belong to one school. Parents and guardians can use one account for children in different schools.
6. Approve one or many school accounts
- Open Administration → User accounts and select the school whose pending accounts you want to review.
- Review each person’s identity, requested role and school.
- Select individual pending users or choose Select pending accounts to select up to 100.
- Choose Approve selected. If any selected account is unavailable or outside your scope, refresh and review the selection before retrying.
What to check: Approved users can sign in; approved parent-child links become available in the parent portal. Other schools’ pending links remain pending.
7. Review page feedback
- Open Administration → Feedback.
- Use Open, New, Reviewed, Resolved or All to filter the list.
- Read the page title, address, author and message. Open the page link for context.
- Choose Mark reviewed or Mark resolved as appropriate. Copy for AI copies one entry; Copy for AI in the toolbar copies the filtered entries.
What to check: School administrators manage feedback in their permitted scope; superadmins can see the full inbox.
