School communicators and authorised staff
Communications
Before you start: Check recipients, channel consent, budgets and message wording before sending. Sending may contact real families or staff.
Open CommunicationsActions depend on your school’s enabled modules, your permissions and the record’s current status.
Find your way around
Messages · Compose · Templates · Budgets & consent · Inbox · Delivery log. Select these tabs inside the module; scroll the tab row sideways on a phone.

1. Create a reusable template
- Open Templates and select Add template.
- Enter the template name, category, subject and body.
- Use supported placeholders shown by the interface.
- Save the template and use its preview or Use template action to check substituted values.
What to check: The template is reusable and its placeholders produce the intended message.
2. Compose and send a message
- Open Compose or choose Use template.
- Select the recipient audience, adding the intended classes or individuals and deciding whether guardians or staff are included.
- Choose the channels and review the subject and message.
- Preview the audience count, sample content, consent exclusions and cost information.
- Send and confirm the recipient count only after review.
What to check: The message is submitted for delivery. Delivery log confirms what happened on each channel.
3. Schedule or cancel a message
- Compose and preview the message as usual.
- Set Send at to the intended date and time and save the schedule.
- Find the message under Messages and verify that it is Scheduled.
- To stop a pending message, open it and choose Cancel, then confirm Cancel message.
- Check the updated status; cancellation does not retract messages already delivered.
What to check: The scheduled message has the intended time or a confirmed cancelled status.
4. Investigate delivery and read inbox
- Open Delivery log and filter for the message or outcome.
- Open failed or suppressed deliveries and review the reported reason.
- Check Budgets & consent and correct the underlying contact or configuration issue through the appropriate module.
- Use the available retry action only after checking whether a delivery already succeeded.
- Open Inbox to read messages addressed to you.
What to check: Delivery failures are investigated without sending accidental duplicate messages.
