Before you start: Agree the academic year, term dates, holidays and school closures before setup.

1. Prepare and activate an academic year
- Open School calendar → Years & terms.
- Create a year, using a template where appropriate, and review every term’s start and end date.
- Open Holidays & school days and add or import the relevant non-school days; verify the year after import.
- Return to the year and select Activate year, confirming when prompted.
What to check: The active year and its terms are available to modules that depend on school dates.
2. Add and publish an event
- Open Events and create an event.
- Enter the title, category, dates or times, location and intended audience.
- Save the event and review its details while it is a draft.
- Publish when the details are ready; confirm the event appears in the calendar for its audience.
What to check: The event is published to the selected audience. Saving a draft alone does not announce an event.
3. Use calendar views and export
- Open Calendar and choose the period or view you need.
- Filter the event types or audience where controls are available.
- Open an event for details.
- Use Export to download the available calendar export, then check the dates and scope in the downloaded file.
What to check: You have a calendar view or export for the intended period.
4. Close a term and roll forward
- Review outstanding attendance, marks and billing for the term with the responsible teams.
- Use the term’s Lock action when changes must be paused; use Unlock only when authorised corrections are needed.
- Close term when the school has completed its checks.
- Prepare the next academic year or rollover using the available year controls; review generated dates before activation.
What to check: The old term has the intended status and the next year is reviewed before use.
