Before you start: Agree who owns each type of request and which staff may approve or manage tasks.

1. Create and assign a task
- Open Board or List and choose the task-creation action.
- Enter a clear title, area/category, location, priority, owner and due date.
- Add the work description and save.
- Open the task record to check its ownership and next step.
What to check: The work appears on the board with an accountable owner and date.
2. Triage requests
- Open Requests and review new submissions.
- Check the location, urgency and requested work; obtain missing information if needed.
- Use the available triage action to accept/convert or reject the request.
- When creating a task, assign an owner and due date.
- Check the request’s outcome and linked task.
What to check: Each reviewed request has an explicit decision and an owner where work is accepted.
3. Progress and complete work
- Open My tasks or filter List to the responsible owner.
- Open the task and review its details and history.
- Update status as work starts, add notes and complete the available checklist items.
- Record the outcome before marking the task complete.
- Use Calendar for due dates and Overview to review unresolved or overdue work.
What to check: The task’s current status and history explain what was done and what remains.
