1. Build the teaching structure
- Open Classroom → Year groups and create the levels your school teaches.
- Create Departments and Subjects, assigning subjects to the relevant department.
- Open Rooms and add classrooms with location and any extension details.
- Open Form groups and create each class with its year group, year, class teacher and room where available.
What to check: Classes, rooms and subjects are ready for enrolment and teacher allocations.
2. Enrol learners and print a class list
- Open Form groups and select a class.
- Use the enrolment action to select an existing learner and confirm the enrolment details.
- Review the class roster and correct any misplaced learner through the available move or withdrawal action.
- Open the form group’s print view and check the roster before printing.
What to check: The class roster contains the intended learners and its printable list matches the screen.
3. Allocate teachers and subjects
- Open Allocations.
- Add an offering or allocation for the correct class, subject and teacher.
- Save and check the allocation in the list.
- Repeat for the class’s other subjects, then use these records when placing timetable lessons.
What to check: Teaching responsibilities are recorded against the correct class and subject.
4. Prepare and publish lesson plans
- Open Planner and select the teaching context.
- Create a lesson plan with its title, date, objectives and teaching activities.
- Add resources or reusable smart blocks as appropriate, and review the lesson details.
- Publish the plan when ready; review Scope & sequence to check topic coverage over time.
What to check: A published lesson is available in its intended teaching context.
5. Promote learners into a new year
- Prepare the destination year, year groups and classes first.
- Open Promotion and choose the source cohort and destination.
- Review the proposed learners and their destinations before applying the promotion.
- Confirm, then open destination form-group rosters to check the result.
What to check: Learners appear in the intended new classes. Resolve exceptions individually instead of repeating a successful bulk promotion.
